Winery Coordinator and Administrator (Wine Jobs: Management & Administration)

We are looking for an enthusiastic and experienced individual to join our team at Lenton Brae Winery in the important role of Winery Coordinator. Situated on a prized strip of Wilyabrup, our venue is fast becoming one of the most desirable wineries to visit in Margaret River, with a fully-stocked deli, games, gardens, and plenty of green space for platters and wine. 

 

This is mostly a back-of-house role (approx. 70%) with some front-of-house work (approx. 30%) occasionally expected. You will be comfortable in a cellar door setting, and familiar with some of the challenges faced by a boutique producer of wine in the current industry and regional climate. You will be working closely with a team that has (cumulatively) hundreds of years’ experience in different aspects of the wine industry. Principally, you’ll be in charge of the wine club, along with all back-of-house aspects to the smooth processing of in-person and online sales. As we are a small team, there are a number of other roles that you will be expected to take on as/when necessary.

Your responsibilities will include: 

 

  • Mastering our Point of Sale software (withwine) and using this platform to manage all SKUs (food items, wine), receive and enter new stock, introduce new wines, and roll older wines into the museum as/when necessary;
  • Managing our wine club, and overseeing the quarterly dispatch of members’ orders; 
  • Acting as an Approved Manager (WA) for a cellar door and venue with a producer’s licence;
  • Implementing and, where possible, improving upon all existing systems and procedures for front and back of house at Lenton Brae; 
  • Basic accounting and reporting of daily figures and the arrangement of this information onto spreadsheets;
  • Managing the wine museum by keeping on top of stocktakes and rolling out new wines as/when needed;
  • Working with our existing team to ensure that all orders of food and drink (for our deli) and cleaning equipment, etc., are made in a regular fashion;
  • Opening and closing the cellar door when necessary, which involves setting up games, checking umbrellas, and ensuring the general tidiness of the venue; 
  • Assisting, where necessary, with the recruitment, induction, and supervision of staff, along with other basic HR practices;
  • Working with our Winemaker to ensure that all technical and tasting notes are produced in a consistent and timely fashion;
  • Working with our Viticulturalist and General Manager to ensure that the warehouse is organised and kept tidy;
  • Working with our Accountant and Bookkeeper to ensure that all invoices are paid, that all receipts are checked and stored, that all figures are reported consistently, and that all stocktakes are done in a timeous and accurate fashion;
  • Working with our Cellar Door Supervisor to ensure the smooth operation of our Point of Sale experience, and occasionally helping out in the cellar door as/when needed, including with the packaging and dispatching of online wine orders;
  • Working with our Events and Marketing Coordinator to manage and expand our online booking system and to provide logistical support, where necessary, for all events at Lenton Brae (including wine launches, musicians, food trucks, ‘Paint and Sip’ with our artist-in-residence, etc.);
  • Working with the General Manager, Directors, and Owners to implement short-term and medium-term plans for the future of Lenton Brae. 

It is essential that you will have: 

 

  • Some experience with (online) Point of Sale software and Microsoft Excel;
  • Basic literacy;
  • Basic numeracy; 
  • Responsible Service of Alcohol certification (Australia); 
  • An interest in wine or an understanding of the Australian wine industry. 

It is highly desirable that you will have: 

 

  • Experience with MYOB Accounting Software;
  • Approved Manager (WA) certification;
  • Experience with withwine;
  • Experience with wine clubs (or similar); 
  • Experience with an online booking system; 
  • WSET Level 2; 
  • Forklift ticket; 
  • Experience in cellar door or restaurant work; 
  • Experience in or enthusiasm about the Australian wine industry.

 

This is a full-time, five-day-per-week role, which will require one weekend day a week. This is a salaried role. We are looking for someone who can start in this role between March 12th and April 16th, 2023.
