Sales Admin and Operations Co-ordinator - Wine (Wine Jobs: Sales & Marketing)

Role

The key focus of this role will be is to provide first class administration brand and sales support to Levantine Hill (LHE)'s Managing Director and sales team, with a particular focus on inventory control and logistics.  You must be able to multi-task, have meticulous attention to detail, have strong written communication skills and strong administration software skills.

Administration

  • Develop the highest levels of customer service to ensure that the customers' expectations are not only met, but exceeded.
  • Set up and maintain efficient electronic and hardcopy filing, recording and retrieval information systems.
  • Assist with preparation of agendas, discussion papers, meeting minutes.
  • Compilation of reports and PowerPoint presentations.
  • Updating existing templates and documents in Adobe Creative Suite (In Design and Illustrator) – business cards, price lists, and brochures.
  • Manage all administration requirements relating to sales and brand management, incl. maintaining photo library, updating media register, logging wine show results, updating website new vintage releases, etc.
  • Coordinate and implement eDM campaigns (basic back-end Mail Chimp or CRM functionality).
  • Answer and manage incoming calls, receive and interact with incoming visitors, liaise with internal staff at all levels.

Logistics and order fulfilment

  • Take front-line responsibility for executing and fulfilling domestic and export orders and all stock movements/replenishments.
  • Plan shipment execution and logistics for domestic and export orders.
  • Liaise with winemaker in all matters relating to transfer/storage and stock holding of wines once they have become finished goods.

Product management

  • Prepare and maintain comprehensive log of product information, including pallet configuration, pack dimensions, analysis.
  • Prepare export documentation and co-ordinate shipments as required.
  • Arrange lab testing and CANs for all new vintages;
  • Assist with new product launches (e.g. update price lists, prepare tasting notes, etc.)

Events and Activations

  • Manage events and activations for Levantine Hill and any other brands as instructed, to ensure brand consistency.
  • Assist team with the planning and arrangement of all Yarra Venue (Cellar Door) site visits through liaison with Winemakers, cellars doors and venue management.
  • Attend events, tastings and product launches to assist the team.

Candidate

  • A proven track record of administration and wine sales
  • Professional customer service skills with the ability to build rapport and maintain relationships
  • Strong time management and organisational skills
  • A proactive, open approach with the ability to multitask and cope with interruptions
  • CRM sales administration support.
  • Basic knowledge of HTML5, CSS, Javascript.
  • Basic website changes.
  • Fluent in social media in particular Facebook, Twitter, Instagram Google+ and LinkedIn
  • Good working knowledge of Microsoft Suite
  • Your own vehicle and a full drivers licence

A base salary of circa $60K with sales bonuses and incentives will be negotiated with the successful applicant.
