Production Coordinator (Wine Jobs: Management & Administration)

Roles Purpose 

The purpose of this role is to support to the Group Chief Winemaker with facilitating the coordinating wine production, scheduling, general purchasing and bulk wine and dry goods logistics. This role will perform the administrative and record keeping duties associated with the Production function. This person will also assist with development, drafting and maintenance of Standard Operating Procedures (SOP) and working on specific production projects.

The role is responsible for production coordination for all wine SKU’s including coordination of bottlings, management, reconciling dry goods movements, logistics for dry goods and bulk wine.

A key focus is to provide administrative support for the production functions for all wine SKUs.

 

Role accountabilities

1.     Production

·       Work with Logistics to ensure international wine SKUs are freighted on completion

·       Ensure SKU closure in a timely fashion so supply data accuracy is achieved.

·       Reconciling and inspecting dry goods and finished goods received at the external contract bottling sites and internal wineries.

·       Scheduling and booking freight movements for bulk wine and dry goods to and from internal and external sites.

·       Production software data management: Ensure accurate bottling and dry goods purchase data capture in SAGE (supported by Finance)

2.     Production Planning

·       Develop production schedules (supported by Winemakers)

·       Ensuring receivals and freight of dry goods and finished goods are in time with the weekly schedule for production runs.

·       Updating production bottling information (receivals, movements, etc.) and ensuring records align with the scheduled production runs.

·       Approving work orders for production runs and production instructions align with internal Handpicked processes.

·        Creating work orders in ERP system and ensuring wine closures are completed in time or prior for release dates.

3.     Purchasing

·        Assist the winemaking site team managers to create and reconcile purchase orders for winemaking consumables, and winemaking assets.

4.     Bottling

·       Manage the bottling schedule

·       Liaise with internal stakeholders (Winemaking, Marketing and Logistic teams) and external stakeholders (bulk wine and dry goods suppliers and contract bottlers) to conduct scheduled bottlings

·       Ensure bottling work orders are accurate and stored in ITEMS folder

·       Reconcile post bottling reports (including bottled stock and dry goods consumption)

·       Resolve bottling issues and if needed, and provide record of the quality issue with the procurement manager.  

·       Conduct post bottling review and address any shortfalls or issues post bottling

5.     Dry Goods

·       Reconcile and ensure dry goods inventory management and records are aligned with internal records.

·       Assisting the winemaking team to record wine information sheets and wine analysis reports.

6.     Reporting

·       Maintain the relevant documents required for relevant organic bodies, Sustainable Wine Australia, and APCO.

·       Updating product information required for the container deposit scheme and product information database.

·       Develop reporting structure for relevant departments to submit information required for the APCO annual report.

·       Assist procurement manager to provide production costings for review as required.

7.     General

·       Ensure accurate and timely collation of bottling records in SAGE and in the ITEMS folder

·       Create and update SOP’s for the production functions to ensure external contract bottlers fulfil packaging requirements at distribution warehouses.

·       Ensure Production details for all SKU’s are collated, accurate and accessible, for example updating of TBB files or comparative system records.

8.     Culture

Skills

What the incumbent will need: 

·       Have an interest in the wine industry, industry experience preferred

·       Have experience in production and/or scheduling.  

·       Enjoy working

·        in a fast-paced environment and the challenges of having to meet deadlines and targets 

·       Is a team player who enjoys solving problems and is solution oriented

·       Exceptional organisational skills and proven ability to plan ahead and prioritise workload

·       Have a passion for delivering excellence in a cost-effective way

·       Proficient in Microsoft Office programs primarily Excel, Word & Outlook and have experience with using accounting platforms or ERP systems.

·       Experience working with Sage X3 is advantage

·       Strong attention to detail

·       Have strong verbal and written communication skills

·       Self-motivated with an interest in new technology and innovation

·       Demonstrated ability to manage and work collaboratively both internal and external stakeholders
